Assistant Box Office Manager

CLASSIFICATION: Full-time

POSITION OVERVIEW
The primary duty of the Assistant Box Office Manager is the management and supervision of the daily operation of the box office. The Assistant Box Office Manager exercises discretion and judgment (in conjunction with Box Office Manager) in resolving problems and ticketing issues to insure the satisfaction of all customers. The Assistant Box Office Manager assists the Box Office Manager with hiring, training, scheduling and the supervision of seasonal box office staff.

MINIMUM ACCEPTABLE QUALIFICATIONS
Education: Bachelor’s degree preferred or 2 years’ relevant experience.

Experience: At least two years’ supervisory experience is required in the customer service field; preferably in a theatre or box office setting.

Skills: Strong oral and written communication skills, supervisory skills, and excellent interpersonal skills, particularly in dealing with the public, are required. Computer literacy is required (preferably with computerized ticketing systems).

Other: The scope of the job requires many evenings & weekends between May and September.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Manages daily box office operations by supervising Box Office staff, assisting with ticketing and customer service, updating and troubleshooting the computerized ticketing system, and assisting with scheduling and organizing staff for events.
  2. Helps to assure that ticket buyers receive good customer service and have a positive experience with the Box Office by training staff in customer service techniques, monitoring the performance of staff, complying with customer requests to the extent possible, and using discretion and independent judgment in solving problems quickly and to the satisfaction of the customer.
  3. Facilitates ticket sales by maintaining and accurately preparing for the sale of tickets within the computerized ticketing system, charting by section, row, and seat number, indicating available seating for events and performances, and printing individual tickets.
  4. Assists in the development of an effective and efficient box office staff by mentoring and training them in box office operations and customer service, providing appropriate supervision, enforcing operational policies and procedures and evaluating work performance. Makes recommendations to the Box Office Manager which are given particular weight regarding the hiring, firing, advancement, promotion, and other changes of status of those supervised.
  5. Assists Group Sales Manager with cultivation of existing and potential new groups, and the fulfillment of group ticket orders.
  6. Contributes to the marketing effort of the Saratoga Performing Arts Center by assisting in the development of marketing and promotional activities which are cost efficient and increase revenues, recommending improved box office operational methods and procedures, preparing reports for marketing staff, assisting in mailing of brochures and ticket order forms to members, sponsors, and the general public.
  7. Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.
  8. Maintains competency and professional currency through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses required by the Box Office Manager.
  9. Contributes to the overall success of the organization by performing all other essential duties and responsibilities as assigned.

Group Sales Manager & Ticketing Coordinator

CLASSIFICATION: Full-time

POSITION OVERVIEW

The Saratoga Performing Arts Center has an exciting opportunity for a candidate with strong sales and customer service experience to join its team as Group Sales Manager & Ticketing Coordinator. Reporting to the Box Office Manager, the full-time position will handle all group sales, with the goal of increasing group sales revenue. Candidates should possess a strong sales drive and have excellent multi-tasking, communication and organizational skills. During the summer months, this position will also assist with general box office questions and processes. The ideal candidate is a highly motivated team player, must be committed to maintaining a superior level of customer service at all times and must be detail-oriented, customer-focused and results-driven. Candidate will work closely with box office and marketing to identify and maximize group ticket sales opportunities.

MINIMUM ACCEPTABLE QUALIFICATIONS

Education: Bachelor’s degree preferred or 2 years’ relevant experience.

Experience: At least two years’ experience is required in customer service with a background in sales (especially selling arts programming).

Skills: Strong oral and written communication skills, and excellent interpersonal skills, particularly in dealing with the public, are required. Candidates must be motivated, pro-active, self-directed, & goal oriented. Computer literacy is required (preferably with computerized ticketing systems). Knowledge of dance/classical program is a plus.

Other: Work schedule follows performance needs, but customarily is Monday through Friday, 9am – 5pm (10am – 6pm May – September)

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Creating and fostering relationships with new and current groups via email, telephone, and offsite meetings
  2. Generating database analysis of past & current season group buying trends
  3. Assisting in creating group sale direct mail pieces & email blasts
  4. Processing requests from outside organizations for donated ticket vouchers
  5. Developing hospitality packages with tourism partners; coordinate publicity; analyze results
  6. Assisting in addressing complaints and resolving problems
  7. Leading occasional Group and VIP tours of the theater
  8. Fulfilling and maintaining all group sales requests, applying deposits, final payments, and sending invoices
  9. Maintain onsite dining reservations
  10. Developing relationships and sales opportunities with outside vendors and neighborhood partners
  11. General phone sales as needed
  12. Additional duties as required
