Job Overview

Serve and learn from the Saratoga Performing Arts Center Executive Office on a wide array of initiatives to further the mission and overall success of SPAC programs and events.

 

Duties & Responsibilities

  • Understanding of the overall concept of the Saratoga Performing Arts Center and aspects of service provided.
  • Assist with the CEO’s calendar, schedule meetings and appointments, and provide reminders.
  • Assist with creating presentations and decks for Capital Campaigns, oversight and support.
  • Assist with professional correspondence and writing, both internal and external.
  • Performs duties while exercising a high level of confidentiality.
  • Interact with high-level donors and board members in a professional and respectful manner.
  • Develop and maintain efficient spreadsheets and documentation systems.
  • Handle incoming requests and queries appropriately, including post-event/concert messages.
  • Engage with and assist other SPAC departments as appropriate.
  • Ability to work independently.
  • Research on individuals and topics that are pertinent to the CEO’s work.
  • Assist in planning and execution of major events and activities.
  • Demonstrate a high degree of organizational skill and attention to detail.
  • Ability to cope with simultaneous and competing work demands.
  • Assist in the setup and dismantling of events efficiently and through to completion.
  • Assist in communication with vendors, attend planning meetings as needed for events, festivals, and galas.
  • Assist with load-in and load-out for all outside vendors.
  • Assist with seating and floorplan charts.
  • Administrative office duties, assist with general office needs, answer phone, file, provide information, office supplies and technology
  • Ability to work outside of regular business hours.
  • Lead the coordination of Community Partnership Night.
  • Lead the coordination of Conservation Community Night.
  • Assist in the needs and specialty items of the artists.
  • Assist, support, and keep the Senior Director, Events & Special Projects informed at all times.
  • Performs other related duties as may be assigned.
